Senior Contracts Administrator
Samara Lombok · Construction · Bali · Onsite
Role Overview
Samara is building world-class hospitality and construction projects on the island of Lombok — a frontier environment where infrastructure is still catching up with ambition. The Senior Contracts Administrator is the commercial backbone of our project delivery engine, responsible for ensuring every contract, subcontract, variation, and claim is airtight, traceable, and aligned with our financial interests — even when vendors are hard to reach, documentation arrives late, and supply chains move on island time. This is not a desk job in a corporate tower; this is meticulous commercial discipline exercised in a fast-moving, resource-constrained environment where your paper trail can be the difference between a protected business and an expensive dispute. If you thrive on bringing order to complexity and can enforce contractual rigour without the support of an established big-firm infrastructure, this role was built for you.
Key Responsibilities
- Prepare, review, and maintain all contract documents, subcontract agreements, amendments, and project correspondence across Samara's active construction projects, ensuring every document meets both our internal standards and the realities of working with local and regional contractors on Lombok.
- Monitor contract compliance end-to-end: track key obligations, milestone deadlines, deliverables, and documentation requirements throughout project execution, proactively flagging risks before they become disputes.
- Own subcontract administration from agreement preparation through to close-out, including amendment tracking, supporting document management, and relentless follow-up on approvals in an environment where response times are not always predictable.
- Administer claims, variations, and extensions of time with rigorous documentation discipline, building watertight records that protect Samara's commercial position even when the other party's paperwork is inconsistent or incomplete.
- Liaise closely with Group Legal, Commercial, Procurement, Finance, and Project Teams to ensure all contract matters are properly communicated, commercially aligned, and actioned without falling through organisational gaps.
- Maintain organised, audit-ready contract records, reporting trackers, and confidential documentation that support management decision-making, financial review, and dispute prevention across all project stages.
- Identify and escalate commercial risks — including scope creep, unapproved variations, non-compliant subcontractors, and cost overrun signals — before they compound into project-level financial exposure.
- Support cost control and commercial reporting functions by ensuring that contract data feeds accurately into project profitability monitoring and financial forecasting tools used by the broader QS and Finance teams.
- Build and sustain working relationships with local contractors, suppliers, and consultants operating across Lombok and the wider NTB region, understanding the cultural and logistical nuances that affect how agreements are honoured and disputes are managed.
- Contribute to the continuous improvement of contract templates, administration processes, and compliance frameworks as Samara's project portfolio scales, helping professionalise systems that are still being built.
Requirements
- Bachelor's degree in Law, Construction Management, Quantity Surveying, or a closely related field.
- Minimum 4 years of hands-on contract administration experience within construction, infrastructure, or property development projects.
- Demonstrated experience preparing and managing subcontract agreements, including variation and amendment tracking under real project pressure.
- Proven ability to maintain confidentiality, manage competing deadlines, and protect sensitive commercial documentation in a multi-stakeholder environment.
- Strong working knowledge of construction contract frameworks, documentation standards, and claims management principles.
- Demonstrable resilience working in environments where systems, infrastructure, or counterparty reliability are not guaranteed — remote, regional, or developing-market project experience is a genuine requirement, not a preference.
Nice to Have
- Experience working on hospitality, resort, or mixed-use development projects in Southeast Asia.
- Familiarity with Indonesian construction law, local vendor contracting norms, and regulatory documentation requirements.
- Exposure to international luxury brand standards or operator agreements (e.g. Hyatt, Marriott, or equivalent) and the commercial compliance obligations they impose on development projects.
- Experience working within lean commercial teams where you have been required to build or improve contract administration systems from scratch rather than inherit established ones.
- Proficiency in contract management software or project management platforms (e.g. Procore, Aconex, or equivalent).
- Working proficiency in Bahasa Indonesia as a complement to fluent English.
